Case study: Bespoke parking solutions for multiple hotel sites

After struggling to deal effectively with a wide range of car park management requirements, Ibis Hotel Heathrow approached Creative Car Park to see if we had any suggestions or recommendations.

The Ibis Hotel at Heathrow faced a range of challenges when it came to managing their car park, and they were in need of a thorough, effective solution that perfectly matched their requirements.

Being so close the airport, the biggest hurdle they had to contend with was travellers parking their cars in the hotel car park, and then flying off on holiday for a few weeks. These spaces would then be occupied until they returned.

Some might have been legitimate hotel guests who were allowed to park, but then overstayed their welcome.

Hotel staff were unable to effectively monitor the situation, because they simply didn’t have the staff to oversee the car park 24 hours a day. The barrier system they did have in place was constantly breaking down, and often had to be left open for everyone.

The obstacles

Richard, the general manager at Ibis Hotel had undertaken previous discussions about car parking management, but he had negative experiences with those companies.

He was lacking any confidence in the products and solutions available, and didn’t think that anything would be suitable for his hotel’s needs.

Any system Ibis were to use would need to work for all users of the hotel – staff, temporary visitors, overnight guests and those who might want to pay for a longer stay. The software needed to be seamless for reception staff to take payments, and be effective at deterring unauthorised use.

The solution

We met with Richard and Dilek, his Director of Operations, for a comprehensive and open discussion about the hotel’s current circumstances, the challenges they wanted to overcome and the goals they would ideally like to achieve with UK car park management.

Tina, our senior sales rep, knew how complex the situation was, and rather than try and push a standard car parking solution onto the hotel, she simply listened carefully and gathered as much information as possible.

Richard and Dilek were then invited back to the Creative Car Park head office, where we showed them exactly how we operate, why parking control management is an effective solution, and how we could deliver a system that worked for Ibis.

We created a bespoke package with a dedicated software solution, to tackle all of the problems Ibis was facing. It allowed immediate payment at reception, as well as the ability to generate a variety of bespoke reports that were required.

And to overcome the concerns Richard had about whether car park management would work for then, we implemented the new solution with a trial period to ensure everything was functioning as it should.

The results

The Ibis Hotel at Heathrow now has a bespoke, state-of-the-art ANPR parking system on site, equipped with dedicated software to address all of their requirements.

Following on from this success, we have rolled out similar parking management solutions at over 10 hotels in the Ibis group – including both their budget and style offers – and now managed over 2000 spaces for the company.

Case study: Parking revenue generation at a members’ club

With a private car park that needed regular upkeep, along with the necessity to prioritise members parking over the general public, Worksop Miners Club turned to Creative Car Park for help and advice.

Worksop Miners had a small, private car park of around 50 spaces, managed by the club themselves. It was regularly overcrowded, and members at the club were complaining about not being able to park.

The club needed to ensure members had priority in the car park and could continue to park for free.

But they also wanted to introduce pay and display parking charges for the general public, in order to generate revenue for the car park’s continued upkeep.

The obstacles 

For senior management at the club, the main goal of a new car parking management solution was to generate revenue that could pay for any associated costs and ensure the car park was kept in a good condition.

For members, any solution needed to prioritise their parking needs, and it mustn’t interfere with their current routine – or result in parking charges for them.

The club needed a way to charge the general public, allow members to park for free, and offer some sort of middle ground for those official visitors to the club. This included non-members who may be joining the club, or guests coming for an official meeting or event.

Machinery was needed to be able to introduce car parking charges, and there were concerns over the cost of this.

Finally, the decision to overhaul parking control management at the club lay with multiple stakeholders. There was a committee of individuals who all had to agree to the changes.

The solution

We discussed several options with the company chairman, and then approached the committee at Worksop Miners Club with our proposed solution.

The preferred option included:

  • A pay and display machine on site for the general public
  • An automatic number plate recognition (ANPR) system to allow members to park for free via a permit system
  • A touchscreen in the bar area for daily visitors to secure approval for free parking

Tina, our senior sales rep, worked tirelessly to explain all the details to the committee, in an open and transparent way. All questions were answered, and any fears were addressed with examples of how the system worked in reality.

The ANPR system would ensure all members were recognised automatically and wouldn’t have to do anything to sign in or reclaim payments.

The pay and display machine would help to generate revenue for the club from the general public.

And the touchscreen in the bar would ensure that any visitors to meetings or events, and any potential new members, could all enter their details and avoid the need to buy a ticket or a potential parking charge notice.

The results

After several meetings over the course of 3 months, to ensure that all committee members had spoken with Tina and understood how the new car park management would work, the club agreed to our proposed solutions.

To overcome the potential issue of the pay and display machine cost, we agreed a revenue split from parking charges until it was paid for.

Successful results included:

  • Increase in member and committee satisfaction
  • Boost in revenue from the car park
  • Increase in space availability for members
  • Streamlined process for guests and visitors
  • Dramatic reduction in staff admin time on parking management

Central Manchester University Hospital NHS Foundation Trust

We have been working with CMFT since October 2014 and provide our professional car park attendants at their central site which includes the Manchester Royal Infirmary and the Royal Manchester Children’s Hospital.
We also provide our ANPR system at their Trafford General site to help enforce their 3 hour maximum stay policy.

The Trust also commissioned us to help develop an on-line staff permit application and management software so that their staff can apply for and pay for their parking permits on a secure site, once their application has gone through a two stage verification process with their Line Manager and the Car Park office.

It was with this Trust that we were awarded a ‘Highly Commended’ at the IHEEM Healthcare Estates Awards where the panel commented:

‘Parking in general rarely receives any good publicity but for a positive car parking story within a healthcare envirognment is truly remarkable’.

North Manchester General Hospital

The Pennine Acute Hospitals NHS Trust.

We have had a relationship with the Hospital’s Travel and Access Manager and the Trust for a number of years however, it was in 2014 when their then car park contractor pulled out of the contract leaving them in a very difficult situation, that we were able to quickly mobilise a team of professional parking attendants in order to provide full control and management of their 4 main sites – North Manchester General, Royal Oldham, Rochdale and Fairfield.

All the signage across these sites also needed to be removed and replaced with our own which was a massive challenge but one that we rose to in a professional and timely manner.

Over the past 3 years, we have developed our relationship and services that we provide to the Trust including our Phone & Pay service across the sites.

We have also assisted the Trust with the development of a new car park at the Royal Oldham Hospital where they built a 500 space ANPR/barrier controlled car park.

This meant we had to work closely with their contractors in order to enable the two systems to work together, as well as importing all staff registration numbers into our back-office permit system, in order that they were recognised by the cameras and the barrier would rise.

The Trust also allow this site to be used by Oldham Athletic Football Club as an additional parking area for their supporters on match days therefore, we showed flexibility in allowing the system to be switched off on these occasions so that the fans did not get issued with a Parking Charge Notice.

A key factor in the success of this contract has been the excellent working relationship which we have with the Hospital’s Travel and Access Manager as he works very closely with Anita Young, meeting on a regular basis, particularly with regards to the appeals process.
